How We Automated Scheduling and Saved 10 Hours a Week

·3 min read·By Persona Team

Scheduling meetings should be simple. You pick a time, they confirm, done. But anyone who's tried to coordinate a meeting with more than two people knows the reality: endless email chains, timezone confusion, and calendar Tetris.

We built Persona to solve this problem. Here's the story of how we automated scheduling and what we learned along the way.

The Problem

The average professional spends 4-5 hours per week just scheduling meetings. That's over 200 hours a year spent on something that should take seconds.

The typical flow looks like this:

  1. You email someone to set up a meeting
  2. They respond with their availability
  3. You cross-reference with your calendar
  4. You propose times
  5. They're busy during those times
  6. Repeat steps 2-5 until someone gives up or a meeting finally gets scheduled

It's exhausting. And it gets worse with:

  • Timezone differences - "Does 3pm mean your time or mine?"
  • Multiple participants - Finding a slot that works for 5 people is exponentially harder
  • Changing schedules - By the time you nail down a time, someone's calendar has changed

The Solution

Instead of making people use scheduling links (which feel impersonal) or hiring an assistant (expensive), we built an AI that handles the negotiation for you.

Here's how it works:

  1. You CC Persona on any scheduling email
  2. Persona reads the context and understands what kind of meeting you need
  3. Persona negotiates directly with the other party via email
  4. When confirmed, the invite appears on your calendar automatically

No links. No back-and-forth. No manual work.

What We Learned

1. Email is still the universal interface

We initially considered building a standalone app. But we realized that scheduling happens in the flow of communication—usually email. Meeting people where they already are (their inbox) reduced friction to near zero.

2. Context matters more than availability

Most scheduling tools focus on showing available time slots. But the best assistants understand context:

  • Is this a quick sync or a deep-dive meeting?
  • Does this person prefer mornings or afternoons?
  • Should we buffer time before this meeting?

By reading the email thread, Persona infers these details automatically.

3. Follow-up is where time gets wasted

The initial request isn't the problem—it's the follow-up. When someone doesn't respond, most people either:

  • Forget to follow up
  • Follow up too aggressively
  • Give up entirely

Persona handles follow-up automatically with appropriate timing and tone.

The Results

After using this system for 6 months internally, we found:

  • 10+ hours saved per week per person
  • 3x faster time-to-meeting from initial request to confirmed calendar invite
  • Zero scheduling emails in our inboxes

The mental load reduction was even more significant. Not having to think about scheduling freed up cognitive bandwidth for actual work.

Try It Yourself

If you're spending hours each week just trying to get meetings on the calendar, there's a better way. Persona handles the scheduling so you can focus on the meeting itself.
